SERVICES
Investor onboarding without fragmented documents or invisible hand-offs.
Bring subscription documents, KYC/AML, tax classifications, static data, approvals and provider hand-offs into one controlled onboarding record.
Overview
Investor onboarding is the end-to-end process of admitting a new investor into a fund. It coordinates subscription documents, KYC/AML, FATCA/CRS information, eligibility checks, investor/static data, approvals, payment/dealing readiness and the final hand-off to the transfer agent, administrator or other appointed provider.
Onboarding is broader than KYC. KYC is one control workstream; onboarding connects legal documents, investor data, tax status, operations, provider setup and final acceptance.
Why it matters
Slow onboarding harms fundraising and creates downstream errors if investor master data is incomplete. A mature operating model gives the manager one status view, one exception list and clear ownership across all parties.
Common operating challenges
- Repeated requests for the same investor documents.
- No single status across legal, KYC, tax and operations.
- Static data incomplete after the investor is accepted.
- Provider/bank setup occurs too late.
- Unclear final acceptance and escalation authority.
What we deliver
| Capability | What it covers |
|---|---|
| Onboarding checklist | Configure required tasks and documents by investor/fund type. |
| Document intake | Collect, classify and index subscription/supporting documents. |
| KYC / tax coordination | Connect AML and FATCA/CRS workstreams. |
| Static data setup | Prepare approved investor master data. |
| Approval routing | Track legal/compliance/operations sign-offs. |
| Provider hand-off | Package a complete onboarding record for TA/administrator or other appointed provider. |
Our role can be configured around a defined operating mandate: a recurring managed service, a technology-enabled client workflow, or a co-sourced model in which execution and review are split between Kelton, the client and appointed providers.

Controls and review
The workflow is designed so that automation does not obscure responsibility. Routine processing can be standardised; exceptions, material judgements and formal approvals remain visible and attributable.
- Document completeness by investor/entity type.
- Bank/payment detail verification controls.
- Role-based access to sensitive investor data.
- Segregation between preparer and authorised approver.
- Traceable change history after onboarding.
Responsibility boundary
Kelton can coordinate onboarding operations and workflow. Formal legal acceptance, regulated AML decisions, investment eligibility, TA/registrar actions and payment authority remain with authorised parties.
Technology & expertise
Our operating model combines specialist knowledge with controlled technology. Domain experts define the rules, review logic and exception criteria; the technology layer makes the workflow repeatable, traceable and scalable.
Technology
- Secure document intake.
- AI-assisted document classification and field extraction.
- Checklist rules by investor/entity type.
- Workflow and escalation engine.
- Investor master-data controls.
Expertise
- Investor operations.
- KYC/AML and FATCA/CRS coordination.
- Transfer-agency process knowledge.
- Exception handling across fund, investor and provider requirements.
Expert knowledge is converted into controlled rules, SOPs, checklists, validation tests and exception criteria so that the operating standard is embedded in the workflow rather than dependent on one individual.

| Transition & Implementation | We mobilise the workflow during a launch, provider change or target-operating-model transition. |
